TERMS OF SERVICE

These Terms of Service ("Terms") govern your access to and use of the website at www.bookmediride.com and the Non-Emergency Medical Transportation (NEMT) services provided by MediRide LLC ("MediRide," "we," "our," or "us"), a Virginia limited liability company. By booking a ride, using our website, or engaging our services in any way, you agree to be bound by these Terms. If you do not agree, please do not use our website or services.
1. Services
1.1 Description of Services
MediRide LLC provides private-pay, Non-Emergency Medical Transportation services in the Northern Virginia area. Our services include:
• Wheelchair-accessible transportation
• Ambulatory transportation
• Rides to routine and recurring medical appointments (e.g., dialysis, physical therapy)
• Hospital and emergency room discharge transportation
• Partnership/contract transportation for healthcare facilities, clinics, and doctor's offices
• General community and personal transportation rides
1.2 Service Area
MediRide currently serves the following Northern Virginia communities: Centreville, Fairfax, Chantilly, Gainesville, Manassas, Woodbridge, Burke, Annandale, Vienna, Reston, Great Falls, McLean, Falls Church, Tysons, Alexandria, and Arlington. We reserve the right to modify our service area at any time with reasonable notice.
1.3 Non-Emergency Transportation Only
MediRide provides NON-EMERGENCY transportation only. We are not an ambulance service and do not provide emergency medical services. In the event of a medical emergency, please call 9-1-1 immediately. MediRide drivers are not licensed emergency medical technicians (EMTs) or paramedics.
1.4 Private Pay Only
MediRide accepts private payment only. We do not bill Medicaid, Medicare, or insurance companies. By booking a ride, you agree to pay all applicable fees directly to MediRide at the time of booking or service, as applicable.
2. Booking and Scheduling
2.1 How to Book
Rides may be scheduled through our website at www.bookmediride.com, by calling us at 571-686-8264, texting us at 571-686-8264 or by emailing us at contact@bookmediride.com. We recommend booking in advance to ensure availability, particularly for recurring appointments.
2.2 Accurate Information
You agree to provide accurate, complete, and current information when booking a ride, including your name, pickup location, destination, appointment time, contact information, and any special mobility or accessibility needs. MediRide is not responsible for delays or failed pickups caused by inaccurate or incomplete information provided by you.
2.3 Confirmation
A ride is not confirmed until you receive a confirmation from MediRide via phone, email, or other agreed-upon method. Please verify all details in your confirmation and notify us immediately of any errors.
3. Cancellations and No-Shows
3.1 Client Cancellations
If you need to cancel a scheduled ride, please notify MediRide as soon as possible by phone or email. Cancellations made with less than 24 hours' notice are subject to a cancellation fee. Specific fee schedules will be provided at the time of booking.
3.2 No-Shows
If a driver arrives at the scheduled pickup location and the client is not present and cannot be reached after a reasonable waiting period (typically 10 minutes), the ride will be considered a no-show. No-show fees may apply.
3.3 MediRide Cancellations
MediRide reserves the right to cancel or modify scheduled rides due to circumstances outside our control, including but not limited to weather emergencies, vehicle breakdowns, driver unavailability, or safety concerns. We will make every reasonable effort to notify you promptly and, where possible, reschedule your ride.
4. Payment Terms
4.1 Fees
Ride fees are based on distance, service type, and any applicable special requirements. Pricing will be communicated to you prior to booking confirmation. MediRide reserves the right to update pricing with reasonable notice.
4.2 Payment Processing
Payments are processed securely through Squarespace Payments. By providing your payment information, you authorize MediRide to charge the applicable fees to your payment method. All transactions are subject to Squarespace Payments' terms and conditions.
4.3 Refunds
Refund eligibility is determined on a case-by-case basis. Refunds may be issued for cancellations made within our stated cancellation window or for service failures attributable to MediRide. Refund requests should be submitted in writing to contact@bookmediride.com.
5. Passenger Conduct and Safety
5.1 Code of Conduct
All passengers are expected to conduct themselves in a respectful, courteous, and safe manner. The following behaviors are strictly prohibited:
• Verbal or physical abuse of any MediRide driver or staff member
• Harassment, threatening behavior, or use of discriminatory language
• Use of illegal substances or alcohol during transport
• Tampering with or damaging MediRide vehicles or equipment
• Any behavior that endangers the safety of the driver, passenger, or others
5.2 Seatbelts and Safety Equipment
All passengers must wear seatbelts at all times during transport. Wheelchair passengers will be properly secured according to applicable safety standards. Passengers must follow all driver instructions regarding safety equipment and procedures.
5.3 Infectious Conditions
For the safety of our drivers and other clients, passengers who have been diagnosed with or are exhibiting symptoms of a highly contagious illness are asked to notify MediRide prior to their scheduled ride. MediRide reserves the right to decline transport in situations where providing service would pose a significant health risk.
5.4 Accompaniment
Minors must be accompanied by a parent, guardian, or authorized adult caregiver. Passengers who require a personal care attendant (PCA) should arrange for their PCA to accompany them. MediRide drivers are not permitted to provide personal care, medical assistance, or physical support beyond standard vehicle loading and unloading assistance.
5.5 Right to Refuse Service
MediRide reserves the right to refuse service to any individual who poses a safety risk to our drivers or others, violates these Terms, or engages in prohibited conduct. This right will be exercised in compliance with all applicable anti-discrimination laws.
6. Limitations of Service
MediRide drivers will assist with loading and unloading at the vehicle, but are not responsible for:
• Providing medical care, medication administration, or clinical assistance
• And, unless agreed upon by MediRide as an additional service for the passenger:
I. Accompanying passengers inside medical facilities beyond the entrance.
II. Carrying or transporting luggage, medical equipment, or personal items beyond what is reasonably necessary for the ride.
III. Waiting extended periods inside medical facilities.
7. Disclaimer of Warranties
MediRide provides its website and services "as is" and "as available" without warranties of any kind, express or implied, including but not limited to implied warranties of merchantability, fitness for a particular purpose, or non-infringement. We do not warrant that our website will be uninterrupted, error-free, or free of viruses or harmful components.
8. Limitation of Liability
To the fullest extent permitted by applicable law, MediRide LLC, its owners, employees, drivers, and agents shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of income, loss of data, or personal injury, arising out of or related to your use of our services or website, even if MediRide has been advised of the possibility of such damages.
In the event of an accident, we are not liable for the negligence of other drivers.
MediRide's total liability to you for any claim arising under these Terms shall not exceed the total amount paid by you to MediRide for the specific ride giving rise to the claim.
9. Indemnification
You agree to indemnify, defend, and hold harmless MediRide LLC and its owners, officers, employees, drivers, and agents from and against any claims, liabilities, damages, losses, and expenses (including reasonable attorneys' fees) arising out of or related to: (a) your use of our services; (b) your violation of these Terms; (c) your provision of inaccurate or incomplete information; or (d) your violation of any applicable law or regulation.
10. Privacy

11. Intellectual Property
All content on the MediRide website, including but not limited to text, graphics, logos, images, and software, is the property of MediRide LLC and is protected by applicable copyright and trademark laws. You may not reproduce, distribute, or create derivative works from our content without our express written permission.
12. Third-Party Services
Our website is hosted on Squarespace and uses Squarespace Payments for payment processing. Your use of those services is subject to Squarespace's own Terms of Service and Privacy Policy. MediRide is not responsible for the practices of third-party service providers.
13. Governing Law and Dispute Resolution
These Terms shall be governed by and construed in accordance with the laws of the Commonwealth of Virginia, without regard to its conflict of law principles. Any dispute arising out of or related to these Terms or MediRide's services shall be resolved exclusively in the state or federal courts located in Fairfax County, Virginia, and you consent to personal jurisdiction in those courts.
14. Modifications to Terms
MediRide reserves the right to modify these Terms at any time. When we do, we will update the Effective Date at the top of this document and post the revised Terms on our website. Your continued use of our website or services after any changes constitutes your acceptance of the updated Terms. We encourage you to review these Terms periodically.
15. Severability
If any provision of these Terms is found to be unlawful, void, or unenforceable, that provision will be deemed severable from these Terms and will not affect the validity and enforceability of any remaining provisions.
16. Entire Agreement
These Terms, together with our Privacy Policy, constitute the entire agreement between you and MediRide LLC regarding your use of our website and services, and supersede all prior agreements and understandings.
